HOW TO CHECK THE MEETING ROOM?

OBJECTIVE

That every meeting room is set up in a consistent manner, according to their requirement which has been discussed with the Catering Sales and that the room is set up and ready for the event / meeting latest 1 hour before the delegates arrive. That the room is in a good condition with the right temperature.

To maximize guests satisfaction

To ensure the room is set according to the event order

To ensure the room is ready on time, before the event starts.

To ensure the room is in a general good condition


PROCEDURE

Get the event order

Event orders to be collected by the clerk form the catering office every day

Request the latest update from the catering sales on the function.

Study event order, so you fully understand the guests’ requirements

Set up of the room

Walk around table, look at the set-up and look at the skirting, tables, glasses, pads and pen.

Skirting must be well pressed and straightened.

Table cloth (if any) must be clean without any spot and cracks.

Every seat must have a kit

Check the room status

Use the “Events Checklist”

White board and flip chart must be clean and without dust and marker prints.

Markers should be tested before function starts and keep stand by at station .

Check the floor and carpet

Check the air condition

Check the lighting

Turn on & off the equipment, no blown bulb and set the AV.

Inform for  manager or supervisor

Inform your manager or supervisor that the room is ready for their final inspection
