


HOW TO SET UP U-SHAPE STYLE?
OBJECTIVE
This style is popular choice for discussion type conferences
POLICY
This set gives the conference people the opportunity to have a discussion with other people while in full view of them.
PROCEDURE
Copy of the BEO
Get a copy of the BEO and the floor plan. This is to ensure you know what you will need & how to set.
Get a requisition together this includes
Water goblet; Coaster; pens; pads; A bottle of water; Sweet-candy(two flavor)
Setting the tables
Move trestle tables into room. Make sure that the trestle trolley is used or the correct method for manual handling is used. Trestle need to be set in a u-shape according to the amount of people attending the conference remembering that 3 people fit to a trestle.
Set up your tables according to the floor plan.
Clothe and box the tables, neat and tidy, checking the linen for holes and spots.
Setting the meeting cover
Set the meeting cover, you will need to check the BEO for the details of what you will need to set.
Place note pads to the center of each front chair and the pen are placed under the Hotel logo on the pad.
The water goblet should be place on coaster above the right on the table where the Hotel logo is. Water should be placed at the same place on each table for consistency.
Unless the BEO tells you different
Chair down
Time to chair down make sure you always refer to the safety practices for lifting and moving any stock and equipment.
Use the chair trolley when moving stacks of chairs to minimize manual handling.
Setting the Small tables
If there is a lectern or microphone used a small table must be placed next to it.
A small table, which holds water jugs and glasses for the speaker.
Make sure that either two people are carrying the table otherwise the table should be placed on a flat bed for easy moving. Make sure the correct manual handling technique is used the knees should be bent.
Setting the meeting kit
Make sure a meeting kit table is place in the corner of the room near a power point.
Cloth and skirt the table if needed.
Place meetings kit on table making sure that the phone and oil burner is plugged in. Make sure the power point is turned off before plugging in the oil burner and that the cord is not going to be stretched out too far.
Check to make sure that everything is in the meetings kit.
Make sure the room is clean
When using rooms with cupboards make sure the benches are clean and inside the cupboards are clean with nothing in them.
Vacuum the floor if needed.
Make sure window sills are clean
Make sure all the blinds are at the same height as otherwise it looks messy. They should be ¼ of the way down.
Walk through
Always walk through the set you have just completed, as there may be something that you have forgotten. Check and see if the room is straight and tidy
