


SHOWING INSPECTION TRIP
OBJECTIVE:
To ensure all guests who come for inspection trip are well taken care of and front office personnel to deliver full information to the guests.
POLICY:
Deliver full and accurate hotel information and its facilities to all the guests
The inspection trips can be appointed by DOSM or any Sales Executive or other HODs, but have to get the approval from GM
PROCEDURE:
If the Sales members can do the inspection trips, they will do. Otherwise they will be handled by Front Office Department, especially Guest Relations
This GRO should call the leader of the Inspection group to confirm the time and number of person one day before the requested day.
Then she should prepare for the show rooms, inform to housekeeping
She would send the request form for welcome drink and cold/hot towels to Lobby Bar
Prepare the sales kits, hotel business cards
She will welcome the guests, invite them to lobby bar for welcome drink
While guests having welcome drinks, she would deliver the hotel business cards and sales kit to guests, introduce in general about hotel, and politely ask for the guest business cards
Then she will invite the guest to start the inspection
She should start with the Lobby Bar first, then rooms from lowest to highest category. She should show them the special features of the rooms such as private safe deposit box, complimentary tea/coffee, cable TV, wireless internet…
On the way to the rooms, or moving from room to room, or to outlets…, she would introduces our number of rooms, hotel facilities and special promotion of the time being
Then she shows the guests all the restaurants, Banquet, and Spa, then swimming pool & bar last
She should bring the guests back to lobby, thanks for their visit and warmly goodbye
.
She would attach the guest business cards to the hotel book or hand them over to Sales later on. Then she would record into Guest Relations logbook the date/time start/ time end the inspection trip and her name.
